All participants are kindly recommended to register via the Online Registration System. Please read the instructions below carefully.

Upon submitting the Online Registration Form, each participant will receive a Registration Number by email. Please do not send any payments by bank transfer without the Registration Number and participant’s name included in payment details. Such payments cannot be identified.

Please note that authors of accepted abstract must be registered by 15 July 2016. If your registration is not processed and fully paid by then, your abstract will not be included in the conference programme.

Online registration will be closed as of 7 September 2016.

  3. Together with 2 year EES membership. EES membership for 2 years is 250 € (membership fee is free of VAT surcharge);
  4. Together with 2 year EES e-membership (Incl. Evaluation Journal online subscription only). EES e-membership for 2 year is 220 € (membership fee is free of VAT surcharge);
  • In order to qualify for the respective fee Individual/Institutional membership has to be valid until the end of October 2016.
  • Please note that the reduced fee does not include lunches;
  • Student registration fee conditions listed further below;
  • EC employees are authorized to ask for VAT exemption and therefore pay a registration fee free of VAT (upon providing the Secretariat with the VAT exemption form).
  • We are expecting to be able to offer bursary support to pay registration/ travel expenses for a limited no. of participants from developing countries. However preference will be given to those who are making some form of presentation. We are currently working on raising sufficient funding for the bursaries thus we would announce bursary opportunities later on together with the bursaries application criteria. Please check the news section at the website.

Registration of EES Institutional members

The EES Institutional member can register up to 5 representatives and profit from the reduced registration fee for each registered representative. For registration within the EES Institutional membership please contact our secretariat at info@ees2016.eu


EES Student registration conditions

If you would like to register with the Student fee, please kindly provide the Conference Department (info@ees2016.eu) with following information and documentation before subscribing the student fee:

  1. Name and contact details of the applicant
  2. Name of the University
  3. Type and name of the Study Program
  4. Start and duration of the Study Program
  5. Proof/certificate of the student status from the University (e.g. pdf copy of original inscription at a University or attestation by a professor)

Once all the conditions are met (the documentation is reviewed and approved by the EES) the applicant will be contacted by the EES Secretariat. If the application process was successful, the applicant will be asked to proceed with the online Student registration.


EES Student membership conditions

The EES is a voluntary professional association which is supported mainly through its members’ contributions. The aim of the student membership reduced fee is to promote and support people doing studies in or related to evaluation and future/new evaluators.

The applicants interested in the Student membership category are kindly asked to provide the Conference Department (info@ees2016.eu) with following information and documentation before subscribing the student fee:

  1. Name and contact details of the applicant
  2. Name of the University
  3. Type and name of the Study Program
  4. Start of the Study Program
  5. Duration of the Study Program
  6. Contact person from the University, who can vouch for the student's status in the Study Program (reference or letter of recommendation)
  7. Proof/certificate of the student status from the University (e.g. pdf copy of original inscription at a University or attestation by a professor)
  8. One page statement written by the student on how the reported program and the student's studies are related to evaluation. This is mandatory if the Study program is not specific on evaluation.

Once all the conditions are met (the documentation is reviewed and approved by the EES) the applicant will be contacted by the EES Secretariat. If the application process was successful, the applicant will be asked to proceed with the online Student membership subscription. The Student members are entitled to the same benefits as the Individual members. The Student membership category is subject to annual review and can be applied for a period of maximum 3 years.

Registration fees includes:

  • Admission to programme sessions, exhibition and poster area
  • Conference bag, Final Programme, Abstract Book
  • Coffee breaks
  • Admission to ‘Welcome Reception‘
  • Lunches (if not registered for the special fee)

All Participants need to re-confirm attendance of all functions in their Registration Form.

Confirmation
Upon receipt of the correct registration fee (clear of bank charges), each participant will receive a confirmation of registration. It is obligatory to bring this confirmation to the registration desk of the the Conference venue as a proof of your registration otherwise we cannot identify your pre-registration if any problem occurs.

Payment

All fees for the Conference registration should be paid in EUR (€), free of all bank charges!

By bank transfer

Clear of any bank charges, clearly stating the participant’s name and PRN.

Bank transfer can be made only upon receiving detailed information (account number, PRN etc.) from the Conference Secretariat. Payments received without pre-registration details (name, PRN) cannot be identified.

After 22 August 2016 you are kindly requested to make all payments by payment card exclusively or to register on-site. Payment by bank transfer will no longer be available from this date.

Online payment by Card (Visa, Eurocard/Mastercard)

In case of rejected on-line credit/debit card payment, the registration will not be processed by the Conference Secretariat. It is recommended that the participant contacts credit/debit card issuer/bank first and checks if the on-line transactions are not disabled on his card. Afterwards, the online registration process has to be repeated.

Credit Card Acceptance Policy
Please kindly note that for the purposes of the online registration and payment, only internationally recognized credit cards using highest standards of security are accepted. We accept following credit cards for the online payments: MasterCard, Maestro, VISA, VISA Electron a V Pay. For your easier reference, please check if your credit card is embossed, has 16 digit number and 3 digit CVC code at the back plus a magnetic slip. Should you have any question in regards of validity of your credit card for online registration, or should you wish to check if payments with other cards like American Express are possible, please feel free to contact Congress secretariat here.

Final invoice
The final invoice will be provided to the participants only upon request, the Conference Secretariat will not send this document automatically. Please contact the Secretariat here to ask for your receipt.


Cancellation / Refund Policy

Cancellation of Registration:
Until 29 June 2016
– 50 EUR administrative fee will be deducted from the refund
From 30 June 2016 till 30 August 2016 - reimbursement of 50% will be made
From 31 August 2016 - no refund can be processed under any circumstances

For any change of name a fee of 50 EUR will be charged.


Consent to the Processing of Personal Data

I agree to the collection, preservation and processing of personal data contained in this form, by the administrator, C-IN, Prague Congress Centre, 5. května 65, Prague 4, 140 21 (or its employees) for the purpose stated below. This consent is granted for all of the information contained in this form, and throughout the five years from the date of consent. At the same time I am aware of / and of their rights under § 12 and 21 of Act No. 101/2000 Coll. on the protection of personal data.

I am familiar with all completed parts of this form, and I declare that all information are accurate and truthful and are provided voluntarily.

Purpose of Processing Personal Data
In accordance with § 5 of Act No. 101/2000 Coll. on the protection of personal data, all information given on this form are collected and processed solely for purposes of processing registration and accommodation requirements for the EES 2014 and for sending related messages to the data subject via electronic means pursuant to Act No. 480/2004 Coll. Summarized data from this form may be used by the administrator for internal statistical purposes and for internal use of the administrator.

Statement by Administrator
Data administrator declares that they will collect personal data to the extent necessary to accomplish the intended purpose and may be processed only in accordance with the purpose for which they were collected. Employees of the administrator or other individuals who process personal data under contract with the administrator and other persons are obliged to maintain the confidentiality of personal data, even after termination of employment or work.

Responsibility
The participant acknowledges that he/she has no right to lodge damage claims against the organizers should the holding of the Conference be hindered or prevented by unexpected political or economic events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate programme changes. With registration, the participant accepts this proviso.
